Licensing Your HR3 Product

Your payroll license relates to the base settings of your database and the companies that are contained within. These settings are normally decided at the time of purchase and include information such as:

  • Primary company registration details (name, address, contacts etc.).
  • Product level (payroll or payroll Lite).
  • The number of employees licensed in a financial year.
  • Additional modules purchased (e.g. MultiUser, hr, whs, kiosk etc).
  • Additional registered companies (name and ABN).

Within your database, these settings are governed by activation keys. As the needs of your company changes, you may require changes to your license, e.g. additional employees, modules or companies. These changes may require new activation keys. There are two types of activation keys within payroll, Company License Keys (CLK) and Product License Keys (PLK).

Accessing the Security License Screen

  1. From the Navigator go to Security | User Maintenance.
  2. In the Security window select the License node on the left hand side.
  3. The right hand pane displays four tabs which relate to licensing. These are described next.
ClosedDetails tab:

This tab contains contact details of the primary company within your database (not necessarily the company you are currently viewing). All details except the company name can be changed as required. If you need to change the company name, contact the HR3 office for a new PLK. Charges may apply.

ClosedProduct Configuration Tab:

This tab governs the product level and modules you have purchased as well as the number of employee licenses available within a financial year. Changing any of this information will require a new PLK. Charges may apply. There are three sections on this tab:

1. Product Level:

There are two product levels, payroll and payroll Lite.

Features which appear in payroll are indicated by Yes in column A, and those in payroll Lite are indicated in column B.

2. Employees Licensed:

This is based on the number of Payment Summaries (previously known as Group Certificates) produced in one financial year, across all companies within the current database. A YTD report can provide a list of the employees who are currently using a license by going to System reports | Historical | Employee based.

3. Optional modules:

  • RDO / Flextime: This module allows employees to accumulate RDO hours and Flextime through the payrun.
  • Advanced Reporting: The Advanced Reporting module allows the user to customise any standard report included with the system, and write new reports. It also includes Crosstab Analyzer, which provides customisable data reporting and analysis tools.
  • hr: The hr module is used to manage the HR aspects of the organisation, such as training, skills and property. If you have purchased this module, several extra options are available in the employee file for events, training, skills, property and planner, and an additional node is available on the navigator for HR functions.
  • OHS: The whs management module (OHS) stores WHS information/events at a physical Location level. This includes any incidents, hazards, plant/equipment, as well as committees, policies, personnel, etc.
  • ClickSuper Services: Once you have registered your details with ClickSuper (see www.clicksuper.com.au), this module enables you to access the ClickSuper superannuation e-commerce solution, directly from within the HR3pay solution. It provides a single point of entry to electronically process your new super member details and amendments, pay your employer and member contribution amounts, as well as perform validation of your super fund.
  • Multi-user: In all cases, you may create multiple payroll users, however this module is required if you need to have more than one user logged in simultaneously. The number of simultaneous users is specified in the concurrent box. This feature is not available with payroll Lite.
ClosedRegistered companies Tab:

This lists each company which has been registered in the current database, together with their ABN and CLK, and if the company has a Status of Active or Inactive.

If you wish to reactivate a company which has an Inactive Status, you can enter the Company License Key (CLK) in this screen, then click Apply CLK.

ClosedRegistration Submission Tab:

This screen will print a report with all current registration information. This report can be used to request a CLK for a new company. Print the registration form, and complete details of your new company in Section D. Fax the form to the HR3 office, using the fax number provided. Charges may apply.
